How to export your membership report

ServiceTitan, Housecall Pro, or any system that exports a list. Two minutes, then drop it into the free audit - the file never leaves your browser.

What the audit needs

Six columns. The names do not have to match - you map them on screen, and every other column in your export is ignored.

Customer names are optional. Map that column only if you want the emailed list to say who to call.

ServiceTitan

  1. 1Click Reports in the navigation bar, then type "membership" in the search box on the All Reports screen.
  2. 2Open Customer Memberships - it lists one row per membership. Do not use Membership Summary: that one is totals per plan type, not a member list.
  3. 3In the Membership Status filter, tick Canceled and Expired as well as Active, and set the From - To range to the last 12 months. Cancellations are what your churn rate is calculated from.
  4. 4Add a price column before you run it. The default columns carry dates but no dollars - add one from the Sales and Renewal Details section, or the audit can show your renewals and not what they are worth.
  5. 5Click Run Report, then Export above the results and choose Export to XLSX. The audit reads .xlsx directly, so there is nothing to convert.
  6. 6On the mapping screen, map To as the end date - not Next Billing Date. ServiceTitan gives you both, and To is the contract end that renewal risk is calculated from.

Checked against ServiceTitan's own documentation in August 2026. Column captions and which reports you can build still depend on your package and on what your office has customised, so treat this as where to look rather than exact clicks - the six columns are the only thing that actually matters.

Housecall Pro

  1. 1Go to Reporting > Reports and open the Service plans tab.
  2. 2Those reports are summaries - plans by month, revenue by plan name, sold by employee. Click into a row to open its drill-down table: that is the per-customer list the audit needs.
  3. 3Set the date range at the top left to the last 12 months, and use Edit Columns to include the plan name, status, dates and price.
  4. 4Click Export at the top right, next to Edit Columns, and choose DOWNLOAD CSV.
  5. 5Drop the file into the audit and map the columns.

Checked against the Housecall Pro help centre in August 2026. Service plans there can read Active, Expiring Soon, Pending Renewal, Renewed or Expired - the audit counts the first four as live members and Expired as churn, and ignores Draft and Sent, which are plans that were never sold. If your export has no status column at all the audit still runs: it reports your renewal exposure and tells you which numbers it could not calculate.

Questions people ask

Do I need to remove customer names and phone numbers?

No, but you can. The audit never uploads your file - all math runs in your browser, and only the totals you see on screen are sent when you ask for the emailed report. Customer names are optional: map that column only if you want the emailed list to be actionable.

My export has 40 columns. Is that a problem?

No. Extra columns are ignored. You pick which columns mean what on the mapping screen, and anything you don't map is dropped before any math runs.

The report is a PDF. Can I still use it?

Not directly - a PDF has no columns to read. In ServiceTitan the same Export dialog offers Export to XLSX next to Export to PDF; in Housecall Pro the export offers DOWNLOAD CSV. Either of those works here.

How far back should the date range go?

Twelve months. Cancellations inside the last year are what the churn rate is calculated from - if the export only contains active members, you still get the renewal numbers, just not the churn rate.
